Easy Church Membership

RCL Software has always had a heart for the small church. In my denomination I have heard the statistics relative to church size. I have heard different numbers but it seems that many churches have less than one hundred members. Easy Church Membership is a way to allow a small church to be good stewards of the resources the Lord has entrusted to them.

This program is to help these churches.  Easy Church Membership is to maintain a database of church members, all tithes and giving, ministry membership, administrative committees, small group Bible study groups, and spiritual gifts.

At the church level there is a prayer list, church calendar, and staff calendar.  The program is multi-user when installed on a network.  The new security introduced in 2009 is user and group related in some cases down to the button on a window.

There is no limit to the number of families that may be added to the database.

Family and Members

Easy Church Membership is designed around the family unit. A member cannot be added without being related to a member. 

Family and Members

Family information contains the name of the primary contact, address, city, state and zip code.  The telephone number is the primary contact number for all members of the family and will be printed on all reports and directories.  (Each member can have unlimited contact telephone numbers associated to them.)

The list box located below the family records displays each member of the selected family.  When a new family is entered the basic information is inserted as a new member record automatically.  This is the required single member record.  Click the Edit button, located at the bottom of the window to enter and edit the individual’s unique information.  For example if the default gender is Male and this Primary Contact is a female you will want to change the gender selection.

While we suggest using the Family and Members window to enter the initial information most of the daily maintenance is easier accomplished using the Maintain Members window.

Giving

Using a members name to enter their tithes and offering is accessible from either the Family and Members window or the Members Only window.  First enter the first few letters of the member's last name in the Search field and press the TAB key.  If more than one record displays matching your search criteria select the correct member record by clicking it.  Click the Giving button to open the Selected Member Giving window.

For churches using envelopes Easy Church Membership can handle that too. Instead of entering by name the member ID number is used. Below is the Batch Gift Processing window. This is Step 1 to enter members giving using their ID number.

First click the Add button to start entering the offerings. The total, average and count fields will be updated when the data entry window has been closed.

First enter the envelope number and the date of the gift.  (The date can be changed by pressing the minus or plus key on the numeric keypad.  This will either subtract or add one day to the current value.)  Enter the amount, whether it is cash or check.  The check number is optional.  Lastly select the designated fund.

In addition to giving Easy Church Membership has an option to enter and track pledges.

Lastly there are a number of graphs available to illustrate your churches giving, and pledges.

Bible Study

Easy Church Membership has two Bible study options.  The first is for your Sabbath and the second is for the mid-week.  You can define the meeting day of the week and the Bible study name in the program defaults.

The information consists of the class name, room number, class start time, age group and teacher's name.

Select the current class teacher from the list of all members.  To find a member start to type the name and the program will display the closest match.

Worship

Tracking member worship attendance for all meeting days are tracked from the same maintenance window.  If you have a Sunday night prayer meeting it can be added.  Because of the auto complete feature once you enter a Service you will be able to access the name quickly and be assured that the same spelling is used every time an entry is made.

The default view will show all members, either active or inactive, and regardless of their type of membership. If necessary you may use the Query Wizard to limit the number of members view.

You can also save different tag sets.  You may have a tag set for all of the members who normally attend. Or a tag set for all active members. There can be as many tag sets as you need.

This is the selected member's ministry involvement, if any.  Using this window you can Add, Edit, Delete or View all ministry's the selected member is part of including the level of participation.

Gifts

This is the selected member's Spiritual gifts and occupation.  Using this window you can Add, Edit, Delete or View all the gifts God has given to the selected member.  We have included occupation as a gift too, isn't everything we know how to do come from Him?

Visits

Easy Church Membership starting with version 2 adds a tool to giving the church the ability to maintain a list of those members who need their help.  On many occasions the Lord God spoke of the importance for the widows, orphans and ill of His church family to be cared for by the church body.  The Visitation Manager section of this program will help with this important ministry.

This is the section of Easy Church Membership where the staff, deacons, elders, and other volunteers can schedule and record visits to those who are home bound, in nursing homes, assisted living, hospital.  These individuals may be having a difficult time because of some personal tragedy and are in need of spiritual uplifting.

The persons to be visited are maintained from this window.  The minimal information to add a new record consists of: name, address, city and state.  It is expected but not required that the person to be added is a church member.  Click on the Lookup button located to the left of the first name field to select from a list of church members.  When the address for the visit is not the home on record correct it.  For example if the person is in the hospital, enter the name of the hospital in the first address field and the room number in the second.
 
A church member may request a visit be made to a family member, neighbor or friend who is not a church member.  Enter the information for this person.

There are a number of data sheet print options.  From the Maintenance window click the Data Sheet button to print a data sheet for the currently selected person.  Use record marking to highlight more than one person, the click the Data Sheet button.

Outreach

Though RCL Software has a heart for small churches we do not desire the church stay small.  We are commanded by Jesus to reach out to Jerusalem, Samaria, and the world.  In version 2 of Easy Church Membership we have included a tool to help your church track your evangelism efforts.

List of outreach prospects

The Outreach prospects are maintained from this window.  The minimal information to add a new prospect consists of: Name, address, city and state.  The source of this data varies from church to church.  Most have a number of ways to collect this information.  Visitor cards, new home sales, the utility companies, to name a few.  Because this program is multi-user any number of staff members can simultaneously enter and maintain data.


Team builder window

The Team Builder Wizard is a tool designed to allow a church to easily add and remove ministry members from a team. The name used for a team can match the Sunday School class name but is not required.  If a class is blessed with enough volunteers to make up more than one team use the class name as the base and add a distinctive description.

When a ministry member is added to a team that members name is removed from the available list.  A ministry member can only be on one team at one time.  If a team member is to be moved to another team they must first be removed from the current team.  Once removed the member is available to be added to another team.  The design of the program will not allow a ministry member to be on more than one team at one time.

Calendar

The church calendar is for the activities of the church.  This can be worship and Bible study schedules plus the reservation of church resources.  For example the church van for a senior outing, or the sanctuary for a wedding and the fellowship hall for the reception.

The calendar on the right top is used to navigate through the month, from month to month, and year to year.  You can select prior months and years.  Click a day on the calendar to jump to the day in any view, either the wall calendar or the daily schedule.
